Summary
The Legal Executive Assistant serves as a key operational and administrative support professional within the City of Lawrence Law Department and provides high-level administrative and substantive support to the Corporation Counsel. The Legal Executive Assistant also serves as a primary administrative point of contact for the City’s Law Department. The position is supervised by and reports directly to the City’s Corporation Counsel and supports the daily operations of the Law Department through coordination and administration of legal and operational processes.
Essential Job Functions
Responsibilities include, but are not limited to, preliminary contract preparation and review, coordination of responses to public records requests. intake and tracking of tort claims, scheduling and calendar management, document organization and records management, and assistance with departmental budget preparation and expenditure tracking. This role requires strong written and verbal communication skills; strong organizational skills and attention to detail; ability to work independently while also collaborating effectively with others; and the ability to quickly learn legal concepts, terminology, and governmental processes.
The Legal Executive Assistant regularly interacts with City departments, elected officials, boards and commissions, outside counsel, vendors, and members of the public and is expected to demonstrate integrity, professionalism, and sound judgment while supporting legal operations in accordance with applicable laws and established City policies and procedures.

Required Skills and Abilities

- Interpersonal Relationships - Develops and maintains cooperative and professional relationships with employees at all levels, representatives from various departments, and outside agencies. Effectively responds to and resolves complex inquiries and disputes.
- Computer Skills - Utilization and proficiency of modern office technology in Microsoft Office, including Word, Outlook, Excel, and Teams.
- Communication - Excellent ability to listen and understand information presented verbally and in writing. Ability to handle a variety of issues with tact and diplomacy and in a confidential manner.
- Coordination of Work - Ability to plan and organize a daily work routine and establish priorities for the completion of work in accordance with sound time-management. Ability to manage multiple priorities and projects.
Physical Requirements / Work Environment
- Professional office setting.
- Standard business hours with occasional flexibility required to meet City’s needs.
- May require occasional attendance at meetings, events, or off-site locations.
- Prolonged periods of sitting and working at a computer.
- Frequent use of standard office equipment.
- Ability to lift and carry office supplies, files, or materials weighing up to 20 pounds.
Education and Experience
- Associate’s degree and at least five (5) years of progressively responsible administrative, executive support, office management, or related experience; or any equivalent combination of education and experience.
- Preferred experience in a legal office environment.
- Preferred experience with contract preparation and management.
Additional Requirements
Requires a background check to include a local, state, and federal criminal history check, sex offender registry, consumer report.
